Rationale

The death of a student is a serious loss to family members and the university community. The university shall respond with sensitivity and care, providing support to family and community members touched by the loss. One means of providing this support is to acknowledge the academic achievement of the student. 

Policy

When a student has made considerable progress towards the completion of a degree, St Cloud State University will extend to the campus community, family and friends an opportunity to share in the student’s academic success. This policy provides minimum requirements for the awarding of a posthumous degree.

The student must have been enrolled at St. Cloud State University within the previous 12 months. Exceptions to this will be decided on a case by case basis.

To be eligible for the award of a baccalaureate degree, a student, at the time of death, must have:

  • 30 credits or fewer remaining to complete their degree, 
  • completed at least 30 credits at St. Cloud State University, 
  • successfully completed more than half of the courses required for their major, 
  • a minimum 2.0 GPA,
  • and be in good academic standing, and not on conduct probation status. 

For the award of an associate degree, a student at the time of death must have:

  • 15 credits or fewer remaining to complete their degree,
  • completed at least 20 credits at St. Cloud State University,
  • a minimum 2.0 GPA,
  • and be in good academic standing, and not on conduct probation status.

To be eligible for the award of a graduate degree, a student, at the time of death, must have completed an adequate amount of research/work toward a thesis, dissertation, or project or generally 75% of the credit hour requirements for programs without a research or writing requirement. On rare occasions, exceptions may be granted for special circumstances that merit awarding a degree.

If a student does not meet the criteria for a posthumous degree, the Office of Academic Affairs may award a certificate of achievement.

Anyone may identify a candidate for a posthumous degree, but such a nomination must be made to the chair of the appropriate department following the Posthumous Degrees procedure.

Procedure

The Office of Student Life and Development plays a central role in outreach and coordination of support for the family and loved ones after the death of a student. This is a complex relationship requiring sensitivity and care. While Student Life and Development is the primary contact, the consideration of awarding a posthumous degree will be reviewed by Academic Affairs. Family, friends or others may make a request to any member of the faculty or staff. All requests will then follow the procedure below:

  • The unit receiving the request will contact Student Life and Development who will then contact Records and Registration to determine if the student is eligible for a posthumous degree including any academic honors that are appropriate.
  • Records and Registration will notify Student Life and Development and the chair of the student’s major department of the student’s eligibility.
  • The formal recommendation for the award of a posthumous degree will come from department faculty in the student’s major program. Any request must be routed to the department head or dean of the college or school in which the major program resides.
  • The recommendation should be made in writing.
  • If the dean concludes that the eligibility has been met and agrees that the award should be made, a cover memo containing the student’s full name, date of attendance, ID number, and appropriate information that justifies the recommendation for the award should be forwarded to the Provost for concurrence.
  • If the Provost concurs, the recommendation will be submitted to the President for final approval.
  • Upon presidential approval, the Provost will notify the Registrar, the Commencement Coordinator and Student Life and Development. Student Life and Development, as the liaison with the family, will work with the family, and the school, college or program to make suitable arrangements for the family to receive the degree.
  • If the student has completed 120 credit hours towards a bachelor degree or 60 hours towards an associate of arts degree, a notation of “posthumous degree” will be placed on the transcript.
  • If it is determined that the student does not qualify for a degree, the Office of Academic Affairs may award a certificate of achievement. The request for this award will be made by the department, school or college to the Office of Academic Affairs.

Definitions

Student

All Persons or group of persons who:

  1. Are enrolled in one or more courses, either credit or non-credit, through a college or university; or
  2. Withdraw, transfer, or graduate after an alleged violation of the code of student conduct; or
  3. Are not officially enrolled for a particular term but who have a continuing relationship with the college or university; or
  4. Have been notified of their acceptance for admission or have initiated the process of application for admission or financial aid; or
  5. Are not college or university employees and are not enrolled in the institution but live in a college or university owned or controlled residence hall.
